What an AI voice agent can handle
Phones still bring in some of a business's most valuable customers, and many of those calls ring out. A voice agent answers every one.
An AI voice agent answers and makes phone calls in natural conversation. For a small business it can answer every incoming call, handle common questions, book appointments, confirm interest from new leads and remind customers before appointments. Calls that need judgement, such as complaints, clinical questions or negotiations, are transferred to a person.
What can a voice agent handle well?
| Call type | What the agent does |
|---|---|
| Missed and after hours calls | Answers, handles the question or takes a message, and books if possible |
| New lead follow up | Calls a fresh enquiry within minutes, confirms interest and books the next step |
| Appointment reminders | Confirms, reschedules or cancels, and updates the booking system |
| Re-engagement | Calls past customers who gave consent with a relevant offer or reminder |
Where must a person stay involved?
Anywhere the call needs judgement or carries risk: complaints, refunds, clinical or legal questions, and conversations with upset or vulnerable people. A well built agent recognises these and transfers the call. It should also introduce itself as an AI assistant, so callers know who they are speaking with.
What rules apply to AI phone calls in Australia?
Outbound marketing calls must follow the Do Not Call Register Act and the telemarketing industry standard, which set calling hours and require that numbers on the register are not called without consent. Calls to people who enquired or are existing customers are generally fine. Recording calls requires telling the caller. In Vietnam, Decree 91/2020 regulates unsolicited calls and messages. Build consent and disclosure into the agent from the start.
How fast does a voice agent pay back?
Fastest where calls are currently missed or leads wait for a callback. A paid lead called within minutes is far more likely to book than one called the next day, and an agent can work through every new lead immediately, even when many arrive at once. We have built voice agents for our own use and for clients, including the launch of ListingLine, an AI voice agent for real estate agents.
How do you start?
- Pick one call type: after hours answering or new lead follow up are the usual first choices.
- Write down the questions callers ask most and the answers you want given.
- Decide exactly when the agent transfers to a person, and to whom.
- Listen to a sample of calls every week for the first month and adjust.
Why the speed of that first call matters so much. Call them back the same day
